At Kirstin Davis Design LLC, every costume is more than a garment—it's a commissioned piece of wearable art. We intentionally accept a limited number of custom commissions each season to ensure every dancer receives the highest level of creativity, craftsmanship, and personal attention.
From the first sketch to the final rhinestone, our goal is to provide an exceptional client experience rooted in artistry, communication, and confidence. The following policies are designed to protect both our clients and our studio while ensuring a seamless custom design experience.
This Client Experience Guide and Policy Handbook forms part of the Terms & Conditions of doing business with Kirstin Davis Design LLC. By submitting payment, booking an appointment, or placing an order, clients acknowledge they have read, understood, and agreed to all policies contained herein.
The Kirstin Davis Design Fit Promise
A beautiful fit begins with accurate measurements.
Every costume is individually patterned and handcrafted exclusively for your dancer. Rather than using standard size charts, we create each garment from the measurements you provide, allowing us to achieve a truly custom, stage-ready fit.
Our Fit Promise
When accurate measurements are submitted, you can expect:
- A custom pattern created specifically for your dancer.
- A secure, competition-ready fit designed for movement and performance.
- Exceptional craftsmanship with attention to every detail.
- Personal service throughout your custom design experience.
Because every dancer is unique, every Kirstin Davis Design LLC costume is unique.
Preparing for Your Custom Experience
Before submitting your Measurement Form, please:
- Complete the form in its entirety.
- Review our Measurement Guide.
- Measure each area twice and verify every number.
- Have another adult assist whenever possible.
- Seek assistance from a qualified seamstress, tailor, or dance professional if needed.
Once production begins, measurements cannot be changed.
Creating the Perfect Fit
For best results:
- Measure over fitted dancewear or a leotard.
- Keep the measuring tape comfortably snug.
- Record measurements exactly as taken.
- Avoid estimating or rounding.
- Indicate if significant growth is anticipated before the performance season.
Competition costumes are intentionally designed to fit more securely than everyday apparel, allowing dancers to perform confidently on stage.
Alterations & Quality Assurance
Every costume undergoes a thorough quality inspection prior to shipment and is delivered with a Quality Assurance Tag attached.
If Kirstin Davis Design LLC determines that a garment was not produced according to the measurements submitted, we will make it right. Depending on the circumstances, we may:
- Coordinate with a local alterations professional.
- Request the garment be returned to our studio for correction.
Studio corrections generally require 3–4 weeks.
If the costume was produced correctly using the submitted measurements, alteration costs are the responsibility of the client.
Studio alterations are on behalf of That Sew Co. and cost is based upon Kirstin Davis Design pricing plus shipping and are subject to current studio availability.
To remain eligible for approved studio corrections:
- The Quality Assurance Tag must remain attached.
- The garment must remain in original condition.
Removal of the Quality Assurance Tag constitutes acceptance of the garment as delivered and voids eligibility for studio alterations.
Booking Your Production Window
Your booking deposit reserves dedicated production time within our studio—not a finished costume.
Because Kirstin Davis Design intentionally limits the number of commissions accepted each season, all booking deposits are non-refundable and secure your place in our production calendar.
Production generally begins approximately three months before your reserved delivery month.
Example:
- November Delivery → Production Begins in September
To achieve the best possible fit, we recommend submitting measurements during your designated production window.
Delays caused by late measurement submissions, approvals, or requested information may impact production timelines and do not qualify for refunds, discounts, or expedited services.
Design Approval Process
Every design is created exclusively for your dancer.
Once your design sketch has been approved:
- Design concepts are finalized.
- Structural or major design changes are no longer available.
- Significant redesign requests may require a new design fee and revised timeline.
No two Kirstin Davis Design costumes are exactly alike, and every detail is thoughtfully considered throughout the design process.
Encore Collection
Our Encore Collection features professionally designed competition costumes showcasing the same premium craftsmanship, embellishment, and stage presence as our custom commissions.
Available customization options vary by style and will be noted on each listing. Kirstin Davis Design LLC reserves the right to decline requested modifications that substantially alter the original approved design.
Original Design Protection
Every sketch, embellishment layout, photograph, and custom costume concept created by Kirstin Davis Design LLC is an original work of art and remains the intellectual property of Kirstin Davis Design LLC.
Designs may not be copied, reproduced, distributed, or manufactured by third parties without prior written permission.
Payments & Production
- All orders are considered final upon payment.
- Deposits, design fees, and payments are non-refundable and non-transferable.
- Payment plans are available for qualifying orders.
- All balances, including shipping charges, must be paid in full prior to shipment.
Failure to provide measurements, approvals, or requested information in a timely manner may delay production and does not qualify the client for cancellation, refund, or compensation.
Orders that have entered production, are in progress, or have been completed are not eligible for cancellation.
Payment plans may be available for qualifying orders. All balances, including shipping and applicable fees, must be paid in full prior to shipment.
Commission & Refund Policy
Due to the custom nature of our work, every costume is considered a commissioned piece created specifically for an individual client.
For this reason:
- All sales are final.
- No cancellations are permitted after an order has been placed.
- No refunds or exchanges will be issued.
- Deposits and payments are non-refundable and non-transferable.
- Clients are responsible for reviewing all order details prior to purchase.
- Clients are responsible for providing accurate measurements.
By placing an order, clients acknowledge and agree not to initiate payment disputes or chargebacks for services rendered in accordance with these policies.
Shipping & Delivery
Costumes are shipped during the client's reserved delivery month.
Rush services may be available based on current studio capacity and are subject to additional fees.
Shipping notifications and tracking information will be provided once an order leaves the studio.
While every effort is made to meet reserved delivery timelines, Kirstin Davis Design cannot guarantee delivery dates impacted by:
- Delayed client approvals
- Late measurement submissions
- Shipping carrier delays
- Weather events
- Circumstances beyond our reasonable control
This includes, but is not limited to, severe weather, illness, material shortages, supply chain interruptions, government restrictions, or other unforeseen events that may impact production or shipping timelines.
Should delays occur, clients will be notified promptly, and every reasonable effort will be made to keep their project moving forward.
Clients are responsible for ensuring shipping information is accurate. Additional shipping costs resulting from incorrect addresses remain the client's responsibility.
Alterations
Minor alterations are a normal part of owning a custom garment.
Should adjustments be desired following delivery, we recommend working with a trusted local alterations professional or, when available, scheduling services through The Sew Co.
Please note that Kirstin Davis Design LLC is not responsible for fit concerns resulting from inaccurate, incomplete, or outdated measurements submitted by clients. Additional alterations due to measurement discrepancies may incur additional fees.
For alteration clients, items remaining in our possession for more than ninety (90) days following notification of completion may be considered abandoned and may be donated or otherwise disposed of at the sole discretion of Kirstin Davis Design LLC.
Client Communication
To provide every client with the highest level of service, communication is conducted through our designated messaging platforms during normal business hours.
We kindly ask for respectful and timely communication throughout the design process.
Kirstin Davis Design LLC reserves the right to discontinue services in instances of abusive, threatening, or inappropriate behavior.
Photography & Marketing Release
There is nothing more rewarding than seeing these designs come to life on stage.
Kirstin Davis Design LLC reserves the right to photograph and share completed garments for portfolio, website, advertising, and social media purposes unless otherwise requested in writing by the client prior to shipment.
No personally identifiable information of minors will be shared without the consent of a parent or legal guardian.

Kirstin Davis Design LLC utilizes SimplyBook.me Ltd. as a third-party provider for online appointment scheduling and booking services.
SimplyBook.me Ltd. is incorporated under the laws of the Republic of Cyprus (Registration No. 387490) with its registered office at Nafpliou 28, Medical Court, Floor 4, Flat/Office 401, 3025 Limassol, Cyprus.
SimplyBook.me Ltd. provides booking software only and is not responsible for the services, products, pricing, fulfillment, alterations, policies, or customer support provided by Kirstin Davis Design LLC.
By utilizing our online booking system, clients acknowledge that booking information may be processed through SimplyBook.me Ltd. in accordance with their applicable terms and privacy policies.
